Privacy Policy

Last updated: 11 August 2026

Who is responsible for your information

Fire Matrix is the Fire Safety Division of Softmate Limited. Softmate Limited is the data controller for personal information collected through this website and Fire Matrix services. Its registered company number is 13920054.

Our contact address is 50 Salisbury Road, Hounslow, London, TW4 6JQ, United Kingdom. Privacy enquiries can be sent to info@firematrix.co.uk.

Information we may collect

Depending on how you interact with us, we may collect:

  • Your name, organisation, email address, telephone number and postcode.
  • Information about the premises, service required and anything included in an enquiry or subsequent correspondence.
  • Contract, appointment, inspection, reporting, invoicing and service management records where you become a client.
  • Technical information such as IP address, browser, device, referring page, pages visited and approximate location.
  • Cookie identifiers, advertising click identifiers and events such as page visits, quote requests, telephone link clicks or completed enquiry forms, where you consent to optional technologies.

Why we use personal information

We may use personal information to:

  • Respond to enquiries and prepare a requested quotation.
  • Arrange, deliver and manage professional services.
  • Maintain appropriate business, safety and compliance records.
  • Protect the website, prevent misuse and resolve technical issues.
  • Understand website performance and improve its information and usability, where analytics consent has been given.
  • Measure Google and Meta advertising performance, attribute enquiries to campaigns and build advertising audiences, where advertising consent has been given.

Our lawful bases

We rely on steps requested before entering a contract and the performance of a contract when responding to service enquiries and delivering work. We may rely on legal obligations for required business or safety records and legitimate interests for appropriate administration, security and service improvement.

We rely on your consent before using optional analytics or advertising cookies and similar technologies. You can refuse or withdraw that consent without affecting access to the website.

Website enquiries and email delivery

When you submit an enquiry form, the information is sent directly by this website to Fire Matrix rather than opening your own email application. We use Resend as our transactional email delivery provider to transmit the enquiry to our business inbox. Resend processes the submitted information for that delivery purpose.

Google advertising technology

Where enabled with your consent, the Google tag and Google Ads conversion tracking may receive page, device, referral, ad click and conversion event information. This helps measure whether an advertisement resulted in an enquiry and supports campaign reporting and optimisation. Google may use first party identifiers, advertising cookies and ad click information for these purposes.

Meta Pixel

Where enabled with your consent, the Meta Pixel may receive browser and device information, page visits, referral information, cookie or browser identifiers and conversion events such as a completed enquiry. Meta may use this information to provide measurement, analytics, audience and advertising services. We do not send the free text contents of your enquiry form to Meta.

Who may receive information

Information may be shared only where appropriate with website, email, IT and professional service providers, including Resend for transactional delivery of website enquiries; Google or Meta where the relevant consent has been given; competent specialist contractors where necessary to provide a requested service; and regulators, professional advisers or public authorities where required by law.

Google, Meta or other providers may process information outside the United Kingdom. Where this occurs, the relevant provider is responsible for using an appropriate transfer mechanism or other applicable safeguard.

Retention and security

We retain information only for as long as reasonably necessary for the purpose for which it was collected, including contractual, professional, tax, insurance and legal requirements. Advertising and analytics data is retained according to the relevant account configuration and provider terms. We use proportionate technical and organisational measures intended to protect personal information.

Your data protection rights

Depending on the circumstances, you may have rights to access, correct or erase personal information; restrict or object to its use; receive certain information in a portable format; and withdraw consent at any time. Contact us to exercise a right. We may need to verify your identity before responding.

You may also complain to the UK Information Commissioner's Office. Visit ico.org.uk for current guidance.

Changes to this policy

We may update this policy when our services, technologies or legal obligations change. The latest version and update date will remain available on this page.
